Every Raja Ampat charter booking follows seven sequential steps from first inquiry to onboard arrival, each with a defined deliverable and timeline. The process is engineered to remove ambiguity and give guests a clear checklist for what happens next.

Step 1 — Inquiry. You submit dates, party size, dive certification levels, and route preference through WhatsApp, email, or our contact page. Reply within two hours during business hours.

Step 2 — Quote. Within four hours we issue a vessel shortlist (two to four phinisi options matched to group and budget), itinerary draft, and total-cost breakdown. The quote details charter rate, fuel surcharge, port fees, conservation permits, crew gratuities estimate, and optional dive package add-ons. Step 3 — Deposit. Upon vessel selection, we issue an electronic charter contract and 30% deposit invoice. The deposit confirms vessel reservation and locks in your dates. Acceptable payment methods include international wire, Wise, and major credit cards.

Step 4 — Custom Itinerary. A senior planner builds your day-by-day itinerary including dive site rotation, karst-exploration stops, cultural village visits, and rest-day anchorages. You receive a draft, request revisions, and approve a final version 30 days before departure.

Weather changes. If sea conditions threaten a planned site, the captain reroutes within the permit zone — swapping a Cape Kri morning dive for sheltered Sardine Reef. Individual site changes are not refunded since dive count remains equivalent.

Last-minute group size change. Cancellations within the group up to 14 days before departure can be reallocated or refunded pro-rata. New additions are accepted with 7-day notice for permits and provisioning.

Dietary additions. Any new dietary requirement disclosed up to 5 days before departure is accommodated. Vegan, halal, kosher, low-FODMAP, and gluten-free are standard options.

Cancellation and Refund Policy

Our cancellation policy follows three time-based tiers calibrated against vessel commitments to crew, fuel, and provisioning. The policy is summarized at quote stage and embedded in the charter contract.

  • More than 90 days before departure: 80% deposit refund. 20% retained as booking-handling fee.
  • 45-90 days before departure: 50% deposit refund. Balance applied as credit toward rescheduled charter within 12 months.
  • Less than 45 days before departure: No deposit refund. Charter may be reassigned to another party with our written consent and a US$500 transfer fee.
  • Force majeure (natural disaster, government travel ban, vessel mechanical failure beyond 48-hour repair): 100% refund or rescheduled charter at no penalty.
